Introduction

In corrugated packaging, the selling price of a box often starts with one important number:

Its weight.

That weight depends on dimensions, paper GSM, number of layers, product type and production wastage.

Problem Statement

A missing bracket, overwritten cell or incorrect operator could change the calculated box weight without the user noticing.

3. Customer dimensions came in different units.

Customers provided measurements in mm, cm or inches, so estimators had to manually convert the dimensions before calculating the weight.

4. Weight calculation was separate from quotation.

The estimator calculated weight outside the ERP and then entered the result into the quotation.

This meant the quotation could not clearly show how the weight had been calculated.

5. Old formulas could change.

If somebody modified a formula later, historical quotations could no longer be easily matched with the logic originally used to calculate them.

6. New estimators had to learn spreadsheet logic.

Correct pricing depended heavily on experienced employees knowing the right formula for every packaging product.

Solution Implemented

a. A no-code Formula Builder inside ERPNext

Estimators can build formulas using predefined fields such as:

Length · Breadth / Width · Height · GSM Layer · Honeycomb Vertical Layers · Honeycomb Horizontal Layers · Wastage

They also get calculator controls for:

+ − × ÷ % · Brackets · Clear · Backspace

Users do not have to type technical field names or write code.

b. Formula validation prevents common mistakes

The Formula Builder checks the formula while it is being created.

For example:

1. Two fields cannot be placed next to each other without an operator.
2. A closing bracket cannot be added without an opening bracket.
3. A formula cannot end with an operator.
4. Empty or unbalanced brackets are blocked.
5. Backspace removes the complete field instead of deleting one character at a time.

This reduces errors before the formula ever reaches a quotation.

c. Wastage is included in the weight calculation

Packaging weight is not based only on finished dimensions.

Manufacturing wastage also affects material consumption and product cost.

The Formula Builder allows Wastage 1, Wastage 2 and additional wastage placeholders to be inserted wherever required.

A formula may look like:

(Length + Breadth/Width) × 2 × (Breadth/Width + Height) × GSM Layer × Wastage 1 ÷ 1550

The formula defines where wastage applies, while the individual item defines how much wastage should be used.

d. One approved formula per product type

Once the formula for a packaging product is configured, it can be reused across quotations.

For example:

Regular Slotted Carton → Formula A

Corrugated Sheet → Formula B

Honeycomb Board → Formula C

The estimator selects the item and enters the customer dimensions.

The ERP handles the calculation.

This replaces multiple spreadsheet copies with one controlled formula master.

e. Used formulas are locked

Once a formula has been used for an Item or Quotation, it cannot be casually changed or cancelled.

If the business needs different calculation logic, a new formula version is created.

This keeps historical quotations traceable.

A quotation prepared six months ago continues to match the formula used at that time.

f. Automatic unit conversion

Each quotation line can accept a Calculation UOM such as:

Inches · Millimetres · Centimetres

The ERP converts the dimensions into the required unit before running the formula.

The final calculated weight can then be converted automatically into kilograms.

This means the same formula can be used even when different customers provide dimensions in different units.

g. Weight calculation connected directly with quotation

The biggest improvement is that the calculation no longer happens outside the ERP.

The system can calculate:

Dimensions → Product Formula → Weight → Rate per KG → Final Price

The quotation therefore carries the result of the same controlled calculation used by the estimator.
