Pump Manufacturing ERP Software in Coimbatore: BOM to Dispatch
A practical pump manufacturing ERP workflow for Coimbatore: castings, machining, BOM, assembly, testing, serial tracking, stock and dispatch.
Why pump manufacturers need ERP beyond billing
Coimbatore's engineering ecosystem includes businesses that machine, assemble, test and dispatch pump-related products. A single pump may involve a casting, impeller, shaft, bearing, seal, motor, fasteners and packing material. Some parts are purchased, some machined internally and some sent to subcontractors. ERP software helps connect these records so sales, stores, production, quality and accounts can work from the same order and stock position.
This is an illustrative workflow for a centrifugal pump manufacturer. The precise operations, inspection limits and product configuration must be confirmed with the factory.
1. Define the pump item and Bill of Materials
Create a finished item for each sellable pump model or controlled variant. Maintain a Bill of Materials (BOM) showing required casing, impeller, shaft, mechanical seal, bearings, motor and other components. Define units of measure, approved alternatives and suitable revision control. If engineering changes the impeller or motor specification, the production team needs to know which BOM revision applies to existing and new orders.
Example BOM structure: One pump assembly may use one casing, one impeller, one shaft assembly, one seal set, two bearings and the relevant hardware. Quantities here are illustrative only; use the actual drawing and approved engineering BOM.
2. Choose make-to-order or make-to-stock
For a recurring model, the factory may produce finished pumps against a stock plan and dispatch when a customer confirms an order. A special configuration may be assembled only after the sales order is approved. ERP should distinguish available finished stock, reserved stock where configured, work-in-process and material shortages. This prevents sales from promising the same unit to two customers.
3. Plan castings, bought-out parts and subcontracting
Link purchase requests and orders to material requirements. A casing casting may come from an external foundry; machining or coating may be subcontracted according to the process. Record supplier, drawing revision, receipt quantity, inspection result and any rejection or return. Track material issued to and received from subcontractors so pending parts are visible.
4. Control machining through Work Orders and Job Cards
Define operations such as turning, boring, drilling, keyway machining and finishing as appropriate to the product. A Work Order can authorise production quantity while Job Cards capture operation progress and time. Stores issues the right material; production records completed pieces, scrap and rework. If an operation is delayed, management should be able to identify the workstation or subcontracting stage rather than calling every department.
5. Record assembly and quality testing
At assembly, verify that the correct components and revisions are used. Quality checkpoints may include dimensions, alignment, visual inspection and performance or pressure testing where relevant. The factory must define approved test methods, instruments, limits and sign-off authority. ERP captures results and rejected quantities; it should not invent pass/fail limits or substitute for calibrated testing.
6. Link serial numbers and dispatch documents
Where serialisation is required, link each completed pump or assembly to its serial record, test report, customer order and delivery. Prepare packing details, invoice and other required dispatch documents from accurate stock and sales records. This helps trace a later service complaint to the original unit and production history.
7. Calculate the real manufacturing cost
Compare planned versus actual raw-material usage, bought-out components, subcontracting charges, machine time, rejected parts and packing cost. For an illustrative pump, if the casting cost rises while selling price stays fixed, the item-wise margin report should make the change visible. Decide cost allocation rules with accounts before relying on product profitability figures.
8. Reports for a pump factory owner
- Sales orders by model and promised dispatch date
- Finished pump stock versus confirmed demand
- Material shortage against open Work Orders
- Castings pending with suppliers or subcontractors
- Machining operation delay and rework
- Quality rejection and test completion status
- Model-wise production cost and gross margin
- Serial-wise dispatch and service history where configured
ERP implementation checklist
Begin with pump model list, item groups, BOMs, drawings, warehouse structure, current stock and valuation, customer price lists and actual order samples. Run one realistic scenario from quotation through material planning, machining, assembly, QC, dispatch and payment. Train each department on the records it owns, then expand in phases.

Frequently asked questions
Can ERP handle both stock production and customer-specific pump orders?
Yes, with an agreed planning and reservation workflow. The item, BOM and stock structure must distinguish standard and special configurations.
Does ERPNext automatically connect to a pump testing machine?
Not automatically. Equipment data integration depends on device interfaces, data format, network and custom development.
Can one pump's test report be retrieved after delivery?
It can be linked to a serial or batch record when serialisation and document attachment are configured and staff capture the information consistently.
