Payroll That Fits the Workforce

How contract labour payroll, mess deductions and salary advances moved from spreadsheets to payroll software.

Introduction

Standard payroll software usually assumes a standard employee structure: monthly salary, fixed allowances, statutory deductions and salary paid on a scheduled date.

This company’s workforce did not fit that model.

A large share of workers were contract labourers paid by completed square footage. Many employees used the company mess and needed mess deductions based on actual usage. Salary advances were common. Different designations required different wage rounding rules.

Because of this, payroll was being managed through spreadsheets, manual adjustments and repeated checking.

Problem Statement

1. Contract labour payroll depended on work completed, not monthly salary.

Earnings were based on site work completed during the period. That data existed in project records, not directly inside payroll, making contract labour payroll processing difficult.

2. Mess deductions varied every month.

The amount depended on actual days eaten, and some designations were exempt. This had to be manually remembered while processing payroll.

3. Salary advances had to be tracked across multiple months.

The team needed to know how much had already been recovered and what balance was still pending. This created a separate manual tracking process.

4. Wage rounding rules differed by designation.

Even a small difference in wage rounding could create disputes, especially for cash-paid or contract-based workers.

5. Some salaries needed to be held and released later.

Disputes, tool returns or pending clearances sometimes required temporary salary holds. In manual processing, held salaries could be overlooked or cancelled without proper tracking.

6. Payroll was dependent on spreadsheets.

Data was exported, manually corrected and re-imported. This consumed several days every month and increased the chances of payroll errors.

Solution Implemented

a. The standard payroll engine was retained.

Instead of building a separate payroll system, Thirvusoft extended the existing payroll management software only where the business had unique requirements. This preserved standard payroll compliance.

b. Site work was linked directly to payroll.

Completed site work, along with area and rate details, flowed into payroll calculation. Because the system used linked records, the payslip and site work data stayed consistent.

c. Mess deductions were automated.

Recorded days in the company mess were used to calculate the correct monthly deduction. Exempt designations were automatically excluded.

d. Salary advances were tracked and recovered automatically.

The system maintained the outstanding balance of each advance and applied recovery during payroll processing. No side ledger was required.

e. Rounding rules were configured by designation.

Wage rounding was set once and applied consistently for each role during every payroll cycle.

f. Salary hold and release were system-controlled.

Held salaries were recorded along with the reason. They could not be casually cancelled, and release history remained visible for future reference.

g. Attendance tools were built for real workforce conditions.

Bulk attendance entry and correction tools helped manage payroll for workers spread across multiple sites.

h. Every payslip figure became traceable.

Site work earnings, deductions and recoveries could all be explained from the payslip itself, making payroll queries easier to resolve.
